Shall our conversation keep going [[quizz inside]]

Hi {{first_name}},

Just wondering: are you interested in receiving our emails in the future? You may be busy as hell for writing a long response, so all you need to do is to send one number:

1 — I am unavailable now, follow up again sometime.
2 — I am not interested in your solutions.
3 — Can I find out more about the offer?

Thank you for your time!

Sincerely

Closing your file

Hi {{first_name}},

I’m writing to follow up on my email and voicemail. We’re in the process of closing files for the month.

Typically, when I haven’t heard back from someone it means they are either really busy or aren’t interested. If you aren’t interested, do I have your permission to close your file?

If you are still interested, what do you recommend as a next step?

Thanks for your help,

[[your name]]

Appropriate person

Hi {{first_name}},

I’m writing to follow-up on my previous email as I didn’t hear back from you. If it makes sense to talk, let me know how your calendar looks.

If not, could you please let me know who the appropriate person for me to talk to is?

Thanks for your help,

[[your name]]

Thank you from [[company]]

Hi {{first_name}},

In reviewing some outstanding business today, I'll be taking {{company}} out of my current follow ups at this time.

Where we'd initially agreed in the value of our service to strengthen your online engagement, I've reached our to you on several occasions following our initial discussions.

Having not received any replies to date, I assume that we've either fallen off your radar or perhaps the interest has diminished to the degree that my follow up is no longer warranted.

I appreciate the opportunity to work with you and wish you the best with your ongoing marketing efforts. I'd be happy to speak with you when you are ready to invest resources into generating leads from your site.

Best,

No response is not a "no." Follow up if you haven't received an explicit decline. But if someone asks you to stop, replies with a clear rejection, or unsubscribes, respect that immediately. These templates are designed for the silence between sends, not for overriding a stated boundary. The goal is persistence without pressure.

Each sales follow up email should introduce a new value angle. Share a case study from a similar company, reference a trigger event that happened since your first email, or offer a specific resource (audit, benchmark, framework) you didn't mention before. "Just bumping this" signals you have nothing new to say. Each follow up earns its place by changing the angle, not increasing the volume.

Space emails 3-5 business days apart. For cold prospects, lean toward 5-7 days. For warm prospects with active signals, 3-4 days works. Thread your follow ups in the same email chain so the prospect sees continuity, not a new interruption. Err on the side of slightly more time rather than less. Each email must stand alone with enough context to make sense without scrolling.

Acknowledge the timing might be wrong, offer to reconnect next quarter, and ask if there's a better person to talk to. A breakup email in sales often generates the highest response rate in a sequence because it removes pressure and gives the prospect an easy way to re-engage on their terms. The last follow up email should feel like a graceful exit, not a guilt trip.

The initial email in a sequence produces just a 2.9% reply rate on its own, according to Hunter's State of Email Outreach report. A full three-email sequence more than doubles that. Do sales follow ups work? The math is clear: without follow ups, you're leaving more than half your potential replies on the table.
